1. Controller and scope

This policy covers visitors, contact and demo requests, and business contacts. For a Damvia instance used by a customer organisation, that organisation determines the processing purposes and HIVE HORIZON processes data on its behalf under a DPA. Contact the organisation that gave you access for requests about that instance. We forward relevant requests to it.
2. Data, purposes and legal bases
We receive information you provide, information your organisation supplies for the business relationship, and technical information needed to browse the website.
- Contact and demos: name, business contact details, company, message and, for bookings, the selected time. We use these to respond and prepare a discussion or proposal, relying on our legitimate interest in handling business enquiries; pre-contractual steps apply when you personally enter into a contract.
- Customer relationships and support: business contacts, correspondence and information needed to manage orders, relying on our legitimate interest in managing B2B relationships or performance of a contract when you are personally a party.
- Billing and accounting: business billing and payment information, to meet our legal obligations.
- Security: connection and technical information, including IP address, browser, date and requested resource, to deliver the website, diagnose errors and prevent abuse, relying on our legitimate interest in securing the service.
Required form fields are identified. Without a way to reply and the subject of your request, we cannot follow up. Do not send passwords, sensitive data or unnecessary confidential information. Contacting us does not automatically subscribe you to a newsletter.
3. Retention
Enquiries and correspondence are kept while they are handled. For prospect follow-up, the maximum retention period is three years from the prospect’s last active contact, unless they object. Customer relationship data is used during the relationship; only evidence needed to establish rights is subsequently archived for the applicable limitation period, normally five years. Accounting records are kept for ten years from the end of the relevant financial year.
Technical data is limited to the period necessary to detect, diagnose and resolve the relevant incidents or abuse. Separate retention may be necessary to establish or defend a legal claim or meet a legal obligation, limited to the data needed and the duration of that necessity. Rights requests are kept while handled and as evidence of our response. Minimum information needed to honour an objection is kept to avoid contacting you again.
4. Forms, bookings and recipients
The contact form is supplied by Tally BV, Belgium. The “Open contact form” button opens the form on Tally in a new tab; no Tally form or script is embedded on damvia.com. When you open this external service, Tally receives technical data necessary to display the form; submitted information is sent to us to answer your enquiry. Tally describes its storage locations and subprocessors in its GDPR documentation and data processing agreement. You can also contact us by telephone or post.
Booking links open TidyCal, supplied by Sumo Group Inc., United States. This external service receives the information needed to book and sends us the appointment details. Its policy describes its own processing and associated international transfers. No TidyCal widget is embedded on this page. You can also request an appointment through the contact form or by telephone.
The website is hosted by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. Its registered address does not necessarily identify the country of the data centre used.
Recipients are authorised HIVE HORIZON personnel and, within their respective tasks, providers of forms, scheduling, hosting, email and accounting services, and our advisers. Authorities may receive data when required by law. We do not sell your data or use it to train artificial intelligence models.
5. International transfers
Using a provider based in Europe does not guarantee that all its subprocessors or support access remain in the European Economic Area. External services, including TidyCal in the United States, may involve processing outside that area. Provider information is linked below. Contact HIVE HORIZON for information about recipients and applicable safeguards for processing on our behalf, or a copy of safeguards that can be disclosed. Transfers must use an applicable mechanism under GDPR Chapter V; clicking a link does not itself waive that protection.
6. Cookies and audience measurement
Umami measures page views, referring sites, browser, device type and approximate location derived from connection information. This processing relies on your consent. No analytics cookie is set. URL search parameters and fragments are excluded. Hosting: HIVE HORIZON — umami.hivehorizon.com. Maximum retention: 12 months. The necessary damvia_consent cookie remembers acceptance or refusal for 180 days on this website. Use “Privacy settings” in the footer to withdraw consent at any time. Withdrawal stops measurement and reloads the page. Refusing does not block any website function.
External links and services you choose to open have their own notices about tracking technologies. Cookies or storage needed by customer instances are covered by the relevant organisation’s information.
7. Your rights
Depending on the circumstances, you have rights of access, rectification, erasure, restriction and portability, and a right to object to processing based on legitimate interests. You may object to direct marketing at any time and withdraw consent without affecting the lawfulness of earlier processing. French law also allows instructions about the handling of your data after death.

Additional identity evidence is requested only where there is reasonable doubt and in a proportionate manner. 8. Security and updates
We limit access to business needs and apply measures appropriate to the risks. The processing described is not intended to produce solely automated decisions with legal or similarly significant effects on you. This website is intended for a business audience.
This policy is updated when processing changes. Material changes are communicated through an appropriate channel; publishing a new version does not constitute consent to a new purpose.
